Cancellation and Refund Policy

At Questor Travel, we believe in transparency and clarity. Our cancellation and refund policy is designed to protect both our clients and our business. These terms are outlined in every Proposal Agreement and reviewed during the consultation process. A client’s digital signature confirms acknowledgment and agreement.

  1. All Sales Are Final
    Unless otherwise specified in the Proposal Agreement, all sales are final. Travel planning services provided by Questor Travel require extensive time, research, and coordination. Therefore, fees paid for planning and consulting services are non-refundable.

  2. Refunds from Third-Party Vendors
    Questor Travel partners with third-party vendors (such as airlines, hotels, tour operators, and transportation providers) to secure bookings. If a vendor provides a refund due to a cancellation or change, Questor will pass the eligible amount on to the client minus any non-refundable planning or service fees as outlined in your agreement.

  1. Cancellation Penalties
    Cancellation penalties depend on the timing of cancellation and the terms set by individual suppliers. Generally, the closer the cancellation is to the travel date, the greater the penalty. These may include:

  • Loss of non-refundable deposits

  • Partial refunds only

  • No refunds within a set time frame (e.g., within 30, 60, or 90 days of departure)

Questor Travel is not responsible for any losses or penalties imposed by third-party suppliers.

  1. Non-Refundable Items
    Certain costs are always non-refundable, including but not limited to:

  • Planning or consulting fees

  • Questor service charges

  • Deposits marked as non-refundable in the proposal

  • Travel insurance premiums

  • Visa, passport, or entry document fees

  1. Change Requests
    Changes to existing bookings—such as name corrections, date changes, or destination substitutions—may incur administrative fees from both Questor and third-party vendors. All modifications are subject to availability and supplier approval.

  2. Refund Processing Time
    Any eligible refunds will be processed within 30–60 business days, depending on the response times and policies of the third-party vendors involved. Clients will be notified once the refund request has been submitted and processed.

  3. Travel Insurance is Strongly Recommended
    Clients are strongly encouraged to purchase travel insurance to safeguard their investment. Travel insurance may cover:

  • Trip cancellations or interruptions

  • Medical emergencies

  • Travel delays

  • Lost or stolen baggage

Questor Travel can provide insurance recommendations or refer clients to licensed insurance providers. Insurance must be purchased directly by the client.

  1. Group Travel Terms
    For group travel (e.g., university alumni trips, family reunions, etc.):

  • Cancellations may affect the pricing of other travelers in the group.

  • Group deposits are typically non-refundable and non-transferable.

  • Minimum group size requirements may apply for pricing to remain valid.

  1. Force Majeure
    Questor Travel shall not be held liable for cancellations, changes, or disruptions caused by events beyond our control, including but not limited to:

  • Natural disasters

  • Global pandemics

  • Government actions or travel restrictions

  • Wars or political unrest

  • Labor strikes

  • Severe weather conditions

Refunds for these circumstances are at the discretion of third-party vendors and are not guaranteed.

  1. Dispute Resolution
    This policy shall be governed by the laws of the State of Massachusetts. In the event of a disagreement, both parties agree to pursue mediation or arbitration before initiating any legal proceedings.

  2. Agreement Confirmation
    These policies are included in every Questor travel proposal. Client approval via digital signature confirms full understanding and agreement with the terms of this Cancellation and Refund Policy.
